  • Confirm your wedding date, sign the contract, and submit your deposit.
6 Months Out
  • Your Big Bear Mountain Resort wedding planner will reach out to schedule a planning meeting.
3 Months Out
  • Finalize your menu and bar selections.
  • Build your ceremony and reception venue layout.
  • Discuss your event timeline with your wedding planner.
  • Review your vendors and inform your planner of any rental items.
  • Confirm load-in times with all vendors.
  • Submit the Certificate of Insurance (COI) for any vendors not on BBMR’s preferred vendor list.
2 Months Out
  • Submit your linen color choices for dining tables, accent tables, napkins, and napkin fold style.
  • Review your venue layout with your planner.
  • Ensure all vendor information is submitted.
1 Month Out
  • Secure your ceremony rehearsal location and time.
  • Finalize all menu and bar orders, and submit any allergy restrictions.
  • Confirm your layout and timeline.
  • A Banquet Event Order (BEO) draft will be created, including your cost estimate.
21 Days Out
  • Thoroughly review your BEO and make any changes to food & beverage selections or guest count.
  • Submit your seating chart and review your venue layout.
14 Days Out
  • Final guest count is due (no changes can be made after this).
  • Finalize and sign your BEO and venue layout.
  • Submit final estimated payment.

Deposit & Payments
To reserve your venue space, a non-refundable 50% deposit of your venue package is required at the time of booking. The remaining balance is due 60 days prior to your event, along with a non-refundable 50% deposit on your catering minimum. Failure to make these payments may result in event cancellation. Two weeks before your event, the final catering charges and guaranteed guest count are due. Any remaining balance from your event will be due at the conclusion of the event. A late payment fee of $25 per day will be applied to overdue balances.

How Do I Reserve My Wedding Venue and Date?
After filling out a form, a wedding coordinator will assist in confirming availability for your desired venue and date. You may schedule a site tour and once you fall in love with your venue, you’ll receive a contract to review and sign. Once we receive the countersigned contract, your venue and date are officially reserved.

What If It Rains?
We offer tent rentals in case it rains for an additional fee. A rental decision must be made 7 days prior to your event, and a set up decision must be maid 24 hours in advance of your wedding.

Rehearsal
Rehearsal times will be confirmed 30 days prior to your wedding at a mutually agreed-upon time. We’ll do our best to accommodate your request for rehearsal space to match your ceremony location. Rehearsals typically last one hour and must be facilitated by your officiant or wedding coordinator.

Insurance
We require a million-dollar insurance policy naming “Snow Summit LLC., Alterra Mountain Company, and the United States Forest Service” as additionally insured for your wedding day.

Outside Food & Beverage
For your convenience Big Bear Mountain Resort provides all food and beverage served on-premises, with the exception of wedding cakes. If you would like to bring in your own caterer for food only there will be an additional corkage fee. We do not allow any outside alcohol. For health and safety reasons, we do not allow food to be taken to go, and Big Bear Mountain Resort is not liable for any issues arising from this activity. California state laws prohibit guests from bringing alcoholic beverages into a licensed establishment during your event. Policy violators may be asked to leave the venue, and bar services may be suspended for the remainder of the event.

Can You Recommend Local Vendors for Florists, Bakeries, DJs, and Photographers?
Of course! Once we receive your signed contract and deposit, we’ll provide you with a list of trusted local vendors to help bring your vision to life.

Can We Do a Wedding Menu Tasting?
Yes! We host group tasting events for our contracted couples, and can schedule private menu tastings upon request.

Are Your Wedding Venues ADA Accessible?
Yes, all of our wedding venues are ADA accessible. We also offer transportation to the top of the mountain for guests with disabilities or elderly individuals if your wedding utilizes the chairlift. However, some venues may have more uneven terrain than others. Our wedding coordinator will assist you in picking the ideal venue for you and your guests.

Do You Offer Ceremony Rehearsals?
Yes, a ceremony rehearsal is included in your wedding package to ensure everything runs smoothly on your big day.

May We Provide Our Own Decor, Personalized Signage, Favors, Etc.?
Yes, you are welcome to bring your own personalized items, as long as they do not involve open flames or staking into the ground.

Can We Extend the Reception Past 10PM?
Unfortunately, no, due to the City of Big Bear Lake’s sound ordinance. However, you can book an afterparty for up to 30 guests indoors following your reception.

May We Use Our Own Wedding Coordinator?
We provide an experienced wedding coordinator to ensure your day goes smoothly. If you would like an additional personal coordinator, you are welcome to hire one.

Can We Bring Our Own Cake?
We do not offer cake services so you will need to bring your own cake. Please arrange day-of delivery with your selected vendor.

Can We Bring Our Own Beer and Wine?
We do not allow any outside alcohol. However, we offer great options, and if you have a special request, just ask—we can make it happen.

How Early Can We Set Up?
Set-up times will be confirmed one month prior to your wedding date.

What Footwear is Required?
If your wedding utilizes the chairlift you will be on mountain terrain. We suggest wearing footwear that is easy to walk through dirt and uneven ground in.
